The SUBSTITUTE function in Excel is a versatile tool that allows you to replace specific text within a text string. It substitutes new text for old text in the specified text string.

Formula breakdown:

=SUBSTITUTE(text, old_text, new_text, [instance_num])

What it means:

=SUBSTITUTE(This cell, From this TEXT character, To this TEXT character, [In the 1st, 2nd…instance it occurs])


In a particular scenario, I needed to count the occurrences of a specific character within a cell. For instance, I had to count the number of asterisks (*) in a cell. The reason for this was that the asterisks represented the number of times an employee was absent during the year. Initially, I found this task quite challenging and time-consuming to do manually.

However, I discovered that the SUBSTITUTE function in Excel could be used creatively to simplify this task.

We wanted to count the number of asterisks, which was 7. To achieve this, we used a combination of the LEN function and the SUBSTITUTE function.

The process involved three main steps:

  • Calculate the length of the text without the asterisks – in this case, the length of "Bradley Strickland" was 19.
  • Subtract the two lengths – this resulted in 7, which was the number of asterisks.

STEP 1: Use the SUBSTITUTE function to remove all asterisks from the text by replacing the *asterisk "" with an empty string ""**.

STEP 3: Now comes the interesting part!

With the length of the text without asterisks known, we calculate the length of the complete text with asterisks and then subtract the two lengths. This gives us the number of asterisks in the text!

=LEN(C9) – LEN(SUBSTITUTE(C9, "*", ""))

This formula yields 26 – 19, where 26 is the length of the entire text, and 19 is the length without asterisks.
